ACE 2025 Sponsorship & Exhibitor Terms & Conditions

Event: ATD Greater Atlanta Conference & Expo 2025 (ATDACE25)
Date: Thursday, August 14, 2025
Time: 7:30 AM – 5:00 PM
Location: The Southern Exchange, Atlanta, GA

By registering as a Sponsor or Exhibitor for ACE 2025, you confirm your agreement to the following terms and conditions. These are in place to ensure a seamless and professional experience for all involved.

1. Sponsorship Agreement & Eligibility

• Agreement is between ATD Greater Atlanta and the registering organization.
• All sponsors must align with ATD’s values of professional development, integrity, and inclusivity.
• Participation is subject to approval by the ACE Planning Committee.

2. Sponsorship Benefits & Deliverables

• Benefits are based on your selected package.
• All deliverables (logos, videos, staff names, etc.) must be submitted by posted deadlines.
• Late submissions may result in loss of certain benefits.

3. Stage Access & Content Guidelines

• Stage presentations must be educational and non-promotional.
• Sales pitches or product demos are not permitted during sessions.
• All scripts, slides, and media must be pre-approved by ATD Greater Atlanta.

4. Exhibitor Booth Guidelines

• Promotions must stay within your assigned booth.
• No soliciting in session rooms or other vendors' areas.
• Booths must be staffed during all expo hours.

5. Branding & Logo Usage

• ATD and ATD Greater Atlanta logos may not be used.
• ACE 2025 logos may only be used with prior written approval.

6. Advertising Add-Ons

• Optional items such as social media promos and email ads are available.
• Add-ons must be requested in advance and are first-come, first-served.

7. Giveaways & Raffles

• Giveaways are allowed at booths.
• All prize drawings must be free to enter and fair.
• Submit raffle rules and prize details for approval.

8. Attendee List Use

• Lists may only be used for follow-ups—not mass marketing or resale.
• Misuse may result in immediate termination of sponsorship privileges.

9. Conference Bag & Swag Inclusion

• Submit at least 350 approved items by the deadline to be included.

10. Cancellation & Refund Policy

• All sponsorship fees are non-refundable.
• In case of absence, alternative digital exposure may be considered.

11. Conduct & Event Integrity

• All representatives must behave ethically and professionally.
• Disruptive behavior or offensive materials may lead to removal.

12. Liability & Indemnification

• ATD Greater Atlanta is not responsible for sponsor property or damages.
• Sponsors must carry their own insurance for event materials.

13. Agreement Acknowledgment

All registrants must acknowledge the following during checkout:
